CollegeInbound (also styled College Inbound) is operated by Revion Solutions, Inc. (Revion Solutions Incorporated, “Revion,” “we,” or “us”). This policy describes our handling of information through collegeinbound.com and the CollegeInbound website, hosting, implementation, support, and related services we provide to colleges and other education customers.
CollegeInbound may provide access to GuardGrid, a web governance and digital-quality platform operated by Revion Solutions Incorporated. GuardGrid application processing, including at app.collegeinbound.com, is described in the GuardGrid Privacy Policy. This policy covers our CollegeInbound relationship with you; applicable service agreements and data-processing terms also govern information we process on a customer's behalf.
1. Information we collect and use
- Contact and account information: your name, work email, telephone number, institution, role, and account details when you contact us, request a demonstration, or become a customer.
- Support and communications: inquiries, form submissions, chat conversations, and information you provide while we implement, maintain, or support your services.
- Customer website and service information: website addresses, content and files you provide, property details, service configuration, and information needed to manage websites or deliver reports. GuardGrid-related findings and reports may be made available to us as needed to provide the services and support you request.
- Billing and subscription information: billing contacts, selected services, invoices, and payment-related information where applicable to your agreement.
- Technical information: IP address, browser and device information, domain names, referring pages, access times, and operational or security logs used to operate, protect, and troubleshoot our services.
- Website usage and advertising information: page visits and browser identifiers processed through the analytics and marketing tools you allow, as explained in our Cookie Policy.
We use information to respond to requests, administer accounts, verify identity where needed, deliver and support services, bill for services, maintain security, improve our website and offerings, communicate about our services, and meet legal obligations. You may opt out of promotional communications by using the unsubscribe option provided or contacting us. Service and account notices may still be necessary.
2. Customer data and GuardGrid services
Customers decide what website content, properties, and other information they submit or authorize us to process. When we handle personal information on an institution's behalf, our role and instructions are governed by the applicable customer agreement. An institution's own privacy notice governs its relationship with its students, staff, and website visitors. Please direct requests about information held by your institution to that institution; we will assist as required by our agreement and applicable law.
GuardGrid functionality may include accessibility and WCAG analysis, SEO and search analysis, content quality and web governance checks, privacy- and security-related website checks, reports and evidence, traffic and search insights, and GuardGrid Intelligence. Features depend on the customer's plan and configuration. Information processed within GuardGrid is subject to the applicable GuardGrid disclosures; merely visiting this website does not connect your accounts or give us access to your institution's analytics.
When GuardGrid functionality is provided through CollegeInbound, customers may elect to connect supported Google services such as Google Search Console or Google Analytics. Those integrations are governed by the applicable GuardGrid privacy disclosures and Google authorization terms. The customer chooses whether to authorize supported properties and accounts. This website's Google Analytics visitor measurement is separate from those customer-authorized integrations.
3. Sharing information
We make information available to personnel and service providers as reasonably needed for hosting, payment processing where applicable, communications, scheduling, security, analytics, and support. Our website uses AWS hosting, Revion's contact and chat services, Google reCAPTCHA, Calendly scheduling, and Cloudflare Turnstile on the relevant pages. Optional Google Analytics and Meta Pixel processing is described in the Cookie Policy. These providers process information under applicable agreements and their own policies where they act independently.
We may disclose information when required by law or legal process, to protect the security of our services, or to establish or defend legal rights. We do not sell customer account, support, or customer-provided website data to third-party marketing firms. When you allow Marketing cookies, Meta receives browser and visit information for advertising measurement and related advertising purposes. That activity may be considered “sharing” or a “sale” under some privacy laws; you can decline Marketing through Cookie settings and contact us about your opt-out rights.
4. Cookies, forms, and scheduling
Our consent banner lets you accept, reject, or customize optional Analytics and Marketing categories. Essential features remain available independently of those choices. In particular, the contact page loads Google reCAPTCHA for spam protection, the booking page embeds Calendly, and the free-scan form uses Cloudflare Turnstile. These services can receive technical information when their pages load. You may email or telephone us instead of using an embedded form or scheduler.

5. Live chat
The live chat is operated by Revion, the company behind CollegeInbound, and loads on every page independently of cookie preferences. It uses browser local storage to keep a conversation together and recognize a returning browser, rather than cookies. It does not perform advertising or analytics tracking of its own.
An AI assistant answers first. Conversations may be reviewed by our staff. While a member of staff is handling a chat, they may see messages as they are being typed, before they are sent. When you ask to speak to a person, the chat collects your first and last name and email address, and optionally your telephone number and company.
For every chat, the service records your IP address, approximate location (country, region, and city), browser and device type, and the page where the chat started. We use this information to route conversations, prevent abuse, and improve the service. Visitors who abuse the service may be blocked by browser and IP address.
Chat transcripts are kept for 365 days. Aggregated statistics containing no message text are kept for up to two years. To request access to or deletion of chat data, email info@revion.com.
6. Retention and security
We retain information as needed to provide services, maintain business records, resolve disputes, and meet contractual and legal obligations. Retention varies by the type of information and the service; customer agreements and applicable GuardGrid disclosures may specify additional requirements. Browser-storage lifetimes are described separately in the Cookie Policy.
We use safeguards appropriate to the information and services to help protect against unauthorized access, loss, and misuse. No transmission or storage method is completely secure. Customers remain responsible for their credentials, authorized users, and the information they choose to submit.
7. Children's privacy
This website is not intended for children under 13, and we do not knowingly collect personal information from children under 13 through it. If we learn that we have collected such information without parental consent, we will delete it. Contact us if you believe a child has provided information. Information processed for an institution is governed by the applicable customer agreement and the institution's obligations.
8. Your privacy rights and choices
Depending on where you live and the laws that apply, you may request access to, correction of, or deletion of your personal information, and may have rights to portability, restriction of processing, or objection. You can withdraw consent for consent-based processing without affecting earlier lawful processing. We may need to verify your identity or authority to act for another person before fulfilling a request.
California: where the CCPA or CPRA applies, rights may include knowing the categories and specific pieces of personal information collected and disclosed, correction, deletion, and opting out of sale or sharing. You may submit requests using the contact below, including through an authorized agent. To decline this website's optional advertising tracking, turn off Marketing in Cookie settings. We will not discriminate against you for exercising applicable privacy rights.
European and UK privacy rights: where the GDPR or UK GDPR applies, we rely on the appropriate legal basis for the processing, including performing a contract, legitimate interests in operating and protecting our services, consent where required, or legal obligations. You may also complain to your local data-protection authority. Information may be processed in the United States and where our providers operate; applicable contractual and legal safeguards govern transfers where required.
Our current cookie controls do not automatically act on browser Global Privacy Control or Do Not Track signals. Please use Cookie settings or contact us to communicate an opt-out request. Requests remain subject to applicable legal requirements and exceptions.
